That repairs can be a substantial part of a jewellery business is also borne out by US industry data. According to figures from the Edge Retail Academy, repairs account for an average of 10 to 15% of a jeweller's monthly revenue and drive more than half of all customer footfall. Another analysis from the same source puts the figure as high as 15% or more of revenue and roughly 60% of shop traffic.
These figures come from the US jewellery trade and can't be applied to European jewellers as a direct benchmark. Even so, we see comparable ratios among the hundreds of jewellers using PrismaNote's jewellery POS system. It naturally varies by type of business. What the figures show is that in a mature jewellery market, repairs can mean far more than a supplementary service. Repairs form a substantial activity in Europe too. 2023 figures show thousands of businesses engaged in the repair of watches, clocks and jewellery items across countries including the Netherlands, Germany, Italy and the United Kingdom.
The workshop is part of the customer experience
The significance of repairs goes beyond revenue and footfall. Research from ScienceDirect found that 86% of the consumers surveyed said repair service mattered when choosing a jeweller (ScienceDirect). That study is older and was conducted in the United States, but it underlines a principle that still holds true: repair service can help decide which jeweller a consumer ultimately chooses.
More recent research into consumer behaviour around repairs also points to the importance of the experience surrounding a repair. A scientific study of 8,403 consumers with first-hand repair experience (ScienceDirect) found that the availability of good repair information and the experience of the repair process itself are linked to future purchasing decisions and recommendations.
A repair is therefore more than a technical job.
The customer doesn't just want the item repaired well. They also want to know what's happening to it, when it will be ready, and whether the jeweller keeps the promises made.

Craftsmanship isn't enough
Many jewellers have years of experience and deep technical knowledge. In a small shop, staff can often manage repairs well for a long time through short lines of communication and information that mostly lives in someone's head.
But as soon as a shop grows, that changes.
Several sales staff, outside repairers or specialist suppliers become involved. The number of repairs increases and customers expect faster clarity on progress. Staff also have to hand information to each other far more often.

1. Intake: start with the right information
A good intake goes further than "make the ring smaller" or "fix the clasp". Staff should also record relevant details and agreements: the item's condition, specific requests, existing damage and the desired completion date. The customer's expectations belong at intake too.
2. Registration: turn the repair into a single record
Bring together customer details, the item, the work required, agreements and relevant photos in one repair file. For a watch, the brand, model and serial number can matter. Capture information correctly once, then let it travel with the repair.
3. Assessment: establish what's technically needed
The goldsmith or another specialist decides what's technically required. Sometimes the initial estimate changes: a part turns out to be beyond repair, or extra damage comes to light. New information should reach the job immediately, so the shop floor, workshop and customer are all working from the same facts.

4. Quotation: make the agreement concrete
For simple work, the price can be set at intake. More complex repairs sometimes need a technical assessment first. Either way, the customer needs to know clearly what the jeweller is going to do and what it will cost.
5. Approval: record the customer's sign-off
A verbal agreement can easily get lost in a busy shop. Always record whether the customer has approved the proposed work and price. Everyone should be able to see whether the repair is cleared to proceed.
6. Scheduling: make the workload manageable
The order in which items arrive doesn't automatically set the priority. A deadline, available capacity, required parts and the complexity of the work can all reshape the schedule. Good scheduling turns a list of repairs into a workload the workshop can actively manage.
7. Workshop: give the goldsmith complete information
The goldsmith should be able to see immediately what the job involves, what work has been agreed, and which details matter — without having to go back to the shop floor. That avoids interruptions and reduces the risk of information getting lost.
8. Quality check: finished doesn't automatically mean done
Has all the agreed work been carried out? Does the clasp work properly? Is the piece finished neatly? Only then should the shop mark the job as ready for the customer. "Work completed" doesn't automatically mean "ready for collection".
9. Customer communication: let status updates work for the customer
A good process links customer communication to the repair's progress. A status change can automatically trigger a message or task. That doesn't need to replace personal contact. Automate the repetition, not the relationship.
10. Payment: let the admin follow the repair
When the work carried out and the amount due are already attached to the repair, the shop doesn't need to re-enter that information at the till. That saves time and reduces the risk of admin errors.
11. Collection: the final touchpoint counts
A staff member can briefly explain what work was done and flag anything worth noting. For a valuable piece or heirloom, that final moment can matter a great deal.
12. History: a repair also builds future knowledge
If a customer returns in two years with the same watch, they shouldn't have to explain again what happened before. The jeweller can look up the history and base the next piece of advice on it.

Good statuses don't just help the workshop. They make progress visible to sales staff, support customer communication, and provide the data a jeweller can later use to analyse workload and turnaround time.
A status is therefore not an admin label — it's a control point in the repair process.
4. How do you measure your workshop's performance?
A clear workflow doesn't yet tell you whether the process is actually performing well. For that, you need to measure. Not every jeweller needs dozens of KPIs. A small number of well-chosen indicators can quickly reveal speed, capacity, financial performance, customer experience and quality.
Speed: how efficiently does a repair move through the process?
Turnaround time runs from the moment the jeweller accepts the repair to the moment the customer can collect the item. Where possible, also measure how long a repair spends in each stage of the process: intake → assessment → approval → scheduling → workshop → check → ready.
Alongside speed, predictability matters. Measure what percentage of repairs are ready on or before the agreed date. Not just fast — predictable.
Capacity: can the workshop handle the workload?
Look beyond the total number of outstanding repairs to the age of open jobs too:
- 0–7 days;
- 8–14 days;
- 15–30 days;
- more than 30 days.
Productivity shows how much work the workshop gets through within its available capacity. A staff member handling lots of simple repairs isn't automatically more productive than someone doing fewer but far more complex restorations.
Financial: what value does the workshop create?
Measure not just the number of repairs, but total repair revenue and average value per job. The number of jobs tells you how much work you're doing. Repair value tells you what that work is worth commercially. Also look at margin by repair type — this ties in with your sales statistics.
Customer and process: how much friction does the customer feel?
What's especially worth watching is the number of unnecessary status enquiries. How often does a customer call to ask if their repair is ready? Also measure how many repairs sit for a long time in one particular stage:
- waiting for assessment;
- waiting for customer approval;
- waiting for parts;
- waiting for workshop capacity;
- waiting for quality check;
- ready but not yet collected.
The question isn't only how many repairs are outstanding, but why they're still outstanding.
Quality: how often does work need redoing?
A simple quality indicator is the number of repairs that come back in because of a problem with earlier work. A rise can point to issues with workload, instructions, quality checks or specific types of work.
Look at the KPIs as a whole
