Jeweller digitalisation: from separate systems to one clear way of running your business

Digitalisation is not about the number of systems in your jewellery shop, but about how well those systems add up to a single business.

1. What does digitalisation mean for a jewellery shop?

The jewellery trade is digitalising. Customers do their research online, expect up-to-date product information and want to get in touch through an ever wider range of channels. At the same time jewellers work with growing volumes of information about products, stock, suppliers and customers, while time and staff remain limited.

It is tempting to see digitalisation mainly as a collection of new technology. A webshop, a modern till, a CRM system, a digital repair ticket or a link with a supplier are all concrete applications. On their own, though, they say very little about how digital a jewellery shop actually is.

Jeweller digitalisation is not primarily about the technology itself. It is about the way a jewellery shop uses information and technology to make the business run better.

A jeweller can own plenty of digital systems and still re-enter information every day, check stock by hand, keep customer details in several places and let staff spend a lot of time on administration. The business has digital tools, but it is still largely organised by hand. The next step is therefore not automatically another system, but making the separate digital parts work more and more as one business.

1.1 The customer does not see separate systems

A customer may search for a watch in the evening, compare different models, check prices and see whether an item is available. The next day that same customer visits the shop to look at the watch and try it on, then sends a question over WhatsApp, and the purchase itself may still happen online.

To the customer these are not separate sales channels, but different moments in the same journey. That is why customers expect the jeweller to behave as one business: product information has to be reliable, stock has to match reality and staff need fast access to the information they need to help someone properly.

The customer does not think in systems. The customer thinks in a relationship with the jeweller.

Digitalising a jewellery shop is also more complex than digitalising a standard retail process. A jeweller does not simply sell products, but products with specific details and dozens of properties. On top of that come processes such as repairs and pre-owned sales. A single sale can therefore hide many different processes and information flows. The bigger gain appears when the information created during those steps stays available for the next step in the relationship between product, business and customer.

1.2 Being digital is not the same as working digitally

Many jewellers are already fairly digital. There is a POS system for jewellers, a website and perhaps a webshop. The bookkeeping runs in the cloud, and specialised software handles customer management, repairs or marketing. Yet everyday practice can still be full of manual hand-overs.

An employee sells a product in the shop, after which the information has to be entered again for the webshop. A supplier delivers product information, but it has to be copied over by hand. A customer asks about an earlier purchase and the employee has to check several systems to find the answer.

On paper everything is digital. In practice the business still runs on human intermediate steps. The number of digital systems therefore says little about the digital maturity of a business. What matters far more is what happens between those systems, and how much work staff still have to do to move information from one process to the next.

1.3 How digitalisation develops

A digital jewellery shop rarely appears in one go. Development is gradual: digitalise → connect → automate → measure → predict

1. Digitalise

In the first stage information becomes available digitally. Paper gives way to digital customer records, product information, transactions and repair tickets.

2. Connect

Next comes the need to connect information between processes and systems. A sale can update stock straight away and add to the customer history.

3. Automate

Once processes are connected, repetitive handling can be automated. A sale adjusts stock automatically; a status change automatically triggers a message to the customer.

4. Measure

When information is captured consistently and reliably, you can measure what is actually happening in the business: turnover, margin, stock rotation, sales performance, repair lead times and capacity.

5. Predict

The next step is using historical and current information to look ahead. Which products are likely to see more demand? Where is a stock problem building up? Which processes are approaching their capacity? Not every jeweller needs to be at this level today. What matters is knowing which next step adds the most value for your own business.

1.4 Technology should make the jewellery shop stronger

The aim of digitalisation is not to replace as many human actions as possible. The aim is to let staff spend less time on work that adds little value, so there is more room for activities where human knowledge and attention make the difference.

An employee who no longer has to check several systems to find the stock of an item has more time for the customer. An owner with faster insight into stock, margin and sales performance makes better commercial decisions.

The path towards a digital jewellery shop therefore comes down to three things: reliable information + well-organised processes + technology that supports those processes.

2. From digitalising processes to connecting the business

When a jeweller looks at their own operation, it consists of dozens of daily actions. A product is purchased, registered and taken into stock. A customer asks about an item, makes a purchase or places an order. A repair is taken in and later handed back. A supplier sends new product information. At the end of the day sales are processed.

At every one of those moments information is used or new information is created. The practical heart of digitalisation is therefore: capture information properly once, then make it available wherever it is needed again.

2.1 Look at the process first

When a jeweller wants to digitalise, it is tempting to look at software first. The better question comes earlier: how does this process run today?

Take a new collection. The supplier provides the information. An employee processes the items, sets the selling price, makes sure stock is correct and wants the products available for the shop and possibly the webshop. If data has to be entered or checked again at every step, a great deal of work appears that the customer barely notices. The same applies to a repair: intake, ticket, workshop, customer communication and collection. So the first question is not which software you need, but: which actions, information flows and decisions can we organise better? Technology only comes into play after that.

These processes largely use information that was already created elsewhere in the business. Not all of them have to run inside one system. The important question is: which information needs to be able to move between these processes?

2.3 The digital chain of a product

Inside a jewellery shop a product makes a digital journey: supplier → purchasing → product data → stock → sale → customer → service

At every step information is added or used. The supplier provides the basic details. The jeweller decides how the item is positioned commercially, which price applies and where it is offered. A sale creates information about the transaction and the customer; a repair creates relevant information again. The information has to be able to travel along with the product and the customer relationship.

2.4 The digital chain of a customer

The same is true for the customer. Someone may look at a product online, get in touch, visit the shop and finally make a purchase. A year later the same customer returns for a repair or a new purchase. When every contact moment is recorded separately, a lot of context stays hidden. Privacy and access rights obviously have to be respected here.

The goal is not that every employee sees everything. The goal is: the right information, in the right context, available when it is needed.

3. From separate systems to one connected digital reality

As soon as a jeweller digitalises several processes, a new challenge appears. The business owns a number of systems, but that does not mean those systems work as a whole. This is where many digitalisation projects stall: the individual processes are digital, the business in between is not.

3.1 When digital systems become digital islands

New technology is usually added for a concrete reason. A webshop because customers want to order online, a CRM because customer data needs better management, a separate repair system because the workshop asks for it. The problem starts when every system gets its own data and its own way of working. That is how digital islands appear. You notice it when:

  • a product has to be entered several times;
  • a stock change is not immediately visible across all channels;
  • customer information is scattered across systems;
  • staff copy data from one system into another;
  • supplier product information is updated by hand;
  • an order has to be re-entered for the administration;
  • staff check several systems to answer one customer question.

3.2 Information has to be able to flow through the business

Take a new watch arriving in the shop. The supplier may already hold the brand, item number, description, specifications and images. The jeweller adds their own cost price, selling price, margin and stock location. If an employee then has to enter all of this by hand in different systems, much of the value of digitalisation is lost.

In a better connected environment that information comes from one reliable source and is available to several processes:

  • Supplier information → product data → stock → sales → webshop → marketing → reporting
  • Customer → sale → purchase history → service → communication → next purchase
  • Sale → payment → invoicing → administration → reporting

The aim is not for every information flow to become fully automatic. The aim is that information rarely has to be entered, checked or looked up again once it is already available.

3.3 One product, one digital reality

Product data is an important starting point. When different systems each keep their own version, differences appear: the webshop shows a different price from the shop, an employee sees an outdated description and stock in one system lags behind. So it has to be clear: which source is leading for which information?

A customer may browse online, visit the shop, buy, get in touch later over WhatsApp and return months afterwards for maintenance or a repair. To the customer that is one relationship. Purchase and service history can therefore be available when the customer comes back — not to automate every contact, but to give the employee better context. That way digitalisation actually supports the personal character of the jewellery shop.

3.6 From multichannel to unified commerce

The development of sales channels is often described as multichannel → omnichannel → unified commerce. With multichannel the jeweller sells through channels that largely operate separately. With omnichannel those channels are better aligned. With unified commerce not only the sales channels are connected, but also the underlying processes and data.

For the customer, one single business emerges. Not: "I bought something in the webshop and now I have to speak to another department." But: "I bought something at my jeweller."

3.7 What does one connected jewellery shop deliver?

A connected digital environment does not automatically make the shop more successful. The value lies mainly in what stops getting in the way. Staff lose less time to searching, checking and administrative hand-overs. Information and processes depend less on the one employee who happens to know how something works. That creates more room for what genuinely adds value in a jewellery shop: helping customers, selling, providing service and steering the business.

For the owner it means an organisation that can grow without every extra member of staff or extra location adding a proportional amount of administrative complexity.

4. How jewellers put digitalisation into practice

Digitalisation only becomes interesting when you look at what happens on a normal working day in a jewellery shop. A new delivery arrives. An employee processes a sale. A customer calls about an earlier purchase. A webshop order comes in. A repair is taken in.

4.1 From supplier invoice to sales-ready product

An employee can upload a supplier's PDF invoice. The items on the invoice are then matched against products already known in the PrismaNote database. A sale at the till looks like a simple action, but it changes several parts of the business at the same time. The item leaves stock, the transaction is recorded, turnover and margin are captured, and when the customer is known the purchase becomes part of their history. The sale is the starting point for the follow-up steps, so the same information does not have to be captured again.

4.3 One stock for shop and webshop

A jeweller can sell the same item in the shop, offer it online or reserve it for a customer. Physically it stays the same item. By connecting the till, stock and the webshop for jewellers, the jeweller works from one stock instead of checking several stocks side by side. With a collection full of unique or one-off pieces, that difference shows immediately.

4.4 From customer question to customer history

A customer relationship does not end with the sale. A customer may come back months later with a question about a watch they bought, bring in a piece of jewellery for repair or buy again. When earlier sales and customer information is available, the employee does not have to dig through old receipts or other systems first. Technology does not take over the customer conversation; it makes sure the employee starts that conversation better prepared.

4.5 From repair to collection

The employee registers the repair with the available customer and product information. The repair can then be followed through the process: from intake and workshop to status, costs and collection. When the customer calls to ask how things stand, nobody has to work out where the file is. The administrative information moves along with the process, while the craftsmanship stays with the goldsmith or watchmaker.

A large part of the information a jeweller works with every day originates with brands and suppliers: product information, images, specifications, availability and order data are often already digital there.
